Position Summary: The River Campus Libraries (RCL) of the University of Rochester (UR) seek a creative and collaborative Interlibrary Loan Coordinator to support Patron Services operations and ensure consistent and high-quality services across RCL. The incumbent is responsible for Interlibrary Loan (ILL) services, with supervisory duties for 2 FTE and additional student staff. The Coordinator manages the ILL system and designs the workflows that enable UR Libraries to locate, obtain, and provide access to physical and digital resources from libraries around the world. As part of this work, this role collaborates with the Director, Service Strategies to shape the future direction of ILL services for the university. The Interlibrary Loan Coordinator also assists the Director, Service Strategies with service design projects and the coordination of interdepartmental teams supporting RCL service offerings to UR faculty and students.   Areas of Responsibility Leadership and Management: Interlibrary Loan and Patron Services       40%
  • Manages RCL ILL services, including systems and workflow design. Promotes consistent standards for processing incoming requests and ensures service excellence
  • Remains current on ILL systems, tools and add-ons and provides training and support for UR libraries staff
  • Supervises the work of ILL specialists; assigns and delegates work
  • Maintains procedural and training documentation
  • Coordinates interdepartmental teams to support Patron Services initiatives consistently across all RCL libraries
  • Leads or participates in interdepartmental projects aimed at enhancing patron access to RCL services and collections
  • Consistently improves and enhances services and operations managed by the Patron Services department
  • Communicates with library users regarding updates to the system and processing of requests
  • Troubleshoots ILL system and workflow issues
Planning and Assessment                                                            30%
  • Monitors emerging patron services trends, with an emphasis on interlibrary loans, course support, and digitization and recommends service changes or improvements
  • Liaises with the IDS (Information Delivery Services) Project and East (Eastern Academic Scholars’ Trust) Interlibrary Loan Best Practices Group
  • Maintains familiarity with copyright issues and trends in the application of Fair Use, advising RCL staff in this area
  • Evaluates and provides current interlibrary loan data to the RCL subject librarians
  • Assesses the effectiveness and impact of interlibrary loan and other Patron Services initiatives for the university community
  • Uses interlibrary loan and course reserves data for ongoing improvement of services
Parton Services Service Support                                                 20%
  • Assists the Director of Service Strategies with the supervision of general Patron Services departmental functions
  • Provides cross-training for staff within Patron Services to ensure full, ongoing departmental operations (including borrowing/lending/document delivery services, interlibrary loan procedures and policies, mail operations, etc.)
  • Assists in fulfilling incoming interlibrary loan requests
  • Ensures established guidelines are followed for fulfillment of resources
  • Supports service provision for the RCL Q&i service
Miscellaneous Duties                                                                    10%
  • Maintains currency with general library functions, resources, practices and procedures
  • Participates in and contributes toward RCL and University committees, meetings and events
  • Maintains professional collaborations with RCL colleagues and beyond
  • Performs other duties as assigned
  Required Qualifications & Competencies Required:
  • Bachelor's degree and 1+ years' experience or an equivalent combination of education and experience.
  • Experience using and/or managing interlibrary loan software
  • Self-starter who is flexible and open to new challenges
  • Strong organizational and communication skills;
  • User focused and committed to service excellence for all library users
  • Proficiency in the use of Microsoft Office Suite, Adobe Acrobat, etc.
  • Knowledge of emerging trends in academic library support services, technologies, copyright issues, and assessment
  • Demonstrated commitment to diversity and inclusion
Preferred:
  • Strong leadership skills with experience supervising, managing or coordinating staff
  • Demonstrated success in working with faculty, students and colleagues in an academic library setting
  • Experience with ILLiad
