The Association of Research Libraries (ARL) seeks an organized, resourceful, detail-oriented, and collaborative non-profit/association professional to serve as a program manager that provides administrative support to its executive office and member engagement functions. As a member of the program management team, the program manager will contribute to the efficient and effective operation of the Association as it strives to implement its action plan and serve the needs of its member institutions in Canada and the US.

Job Summary/Objective

This Program Manager role will serve as a member of the program management team and provide administrative support to the Association’s member engagement and program strategy committees as well as to ARL’s executive office. The Program Manager will also play a significant role in the Association's publication process (e.g. formatting, copyediting, etc.) for documents created for ARL members and other external parties.

All ARL roles contribute to the development of a trusting and inclusive culture which reinforces ARL norms and values including the Association’s Code of Conduct.

Essential Functions

Provide Support to the Association’s Member Engagement and Program Strategy Committees (approx. 40% of time)

  • Schedule Association Committee/task force meetings as necessary
  • Manage Association Committee virtual workspaces and documents
  • Format and distribute materials as needed
  • Support the tracking of ARL member representative transitions and associated processes
  • Provide support (eg. preparation, formatting, and distribution of materials as well as other logistical tasks) for the Association’s semi-annual meeting

Provide Support to the Association’s Executive Office (approx. 40% of time)

  • Maintain the calendar of the Association’s Executive Director
  • Schedule Board and select Board Committee meetings and assist with taking minutes and tracking action items as needed
  • In consultation with the Executive Director, prepare and format materials for Board and select Board Committee meetings

Provide Support to the Association’s Publication Process (approx. 20% of time)

  • Format and make accessible documents, PDFs, articles, papers, etc. using Word, Excel, Adobe Acrobat, and Adobe InDesign, as necessary
  • Create and maintain accessible templates for staff use in creating documents

Work Environment

Through collaboration and teamwork, the Association (members, staff, partners) works together to deliver on the mission it serves, based on the Board-approved Action Plan. The Association adheres to its Guiding Principles and Code of Conduct in all it does.

All ARL staff are telecommuting until further notice. ARL is headquartered in Washington, DC, and under ordinary circumstances most of our staff is located in the DC area, with flexible telecommuting policies.

Position Type & Expected Hours of Work

This is a full-time position (35 hours per week) and rarely requires evening or weekend work. Occasional travel within the US and Canada may be necessary in tandem with the role’s support of the Association's semi-annual meeting.

Required Education and Experience

  • Bachelor’s degree
  • 3 or more years of administrative experience
  • Experience with managing the calendar of executives
  • Experience with Microsoft Office, Adobe Acrobat, and Adobe InDesign
  • Experience with cloud computing (Google Suite preferred)
  • Knowledge of accessible document formatting principles/508-compliance

Preferred Education and Experience

  • Experience working within an association, higher education, and/or non-profit organization
  • Experience with customer relationship management systems (Salesforce preferred)
  • Experience with web content management systems (WordPress preferred)
